Comparing custom gift box quotes: what should the price include?
The same reference photo can produce very different offers. Define the box, insert, finish and packing arrangement before deciding which quotation fits your project.

Check what you will actually receive
Send a gift box reference to two suppliers and both may say they can make it, yet return different prices. Before negotiating, establish whether they are quoting the same finished package.
One offer may include a shaped insert already fitted inside the box; another may cover the empty box alone. One may supply assembled boxes, while the other requires folding, fixing and product packing at your warehouse. A similar appearance can hide a very different amount of work after delivery.
Ask each supplier to separate what is included from what your team must arrange. The unit price becomes useful only when you understand that scope.
Put six points into one specification
“Premium paper box with custom insert” leaves too much open. Send the following details with your reference images and ask for confirmation against each point. Where you need a recommendation, identify it as a proposal to review.
- Box style and dimensionsSpecify a lift-off lid, hinged lid or drawer construction. Identify clear internal or finished external dimensions, then add the product size, weight and accessory positions.
- Board and wrapping paperSpecify the structural material and thickness separately from the outer paper and surface treatment. Paper grammage and board thickness are different measurements; “extra thick” is not a comparable specification.
- Insert and assemblyDefine the insert material, product compartments, support positions and removal method. Confirm whether it arrives separately or already fixed into the box.
- Print and decorationIdentify colours, printed surfaces and the position and area of foil, embossing or other effects. Mark them on the artwork instead of relying on “same as the picture”.
- Quantities and versionsSplit quantities by size, colour and artwork. An order divided across several versions should not be quoted as though it were a single version.
- Packing and deliveryConfirm assembled or flat delivery, units per carton, outer cartons and any pallets. State the destination, included transport costs and quotation validity.
Approve structure and finish separately
Use a structural sample to check product fit, removal, support and closure. Pay attention to protruding caps, jewellery or accessories that could touch the lid. The outside dimensions of a box cannot settle these details.
Then review a sample made with the agreed materials and production processes for colour, wrapped edges, corners, artwork position and opening feel. A screen visual helps establish direction; it cannot confirm physical finish. Agree what the sample represents and what it can approve before ordering it.
Keep the sample revision, drawing revision and outstanding changes together. If paper, insert or assembly changes later, revisit the affected checks so the quotation, sample and purchase order stay aligned.

Decide whether the difference is worth paying for
If the offers cover different work, request the missing details first. Once their scope matches, assess the samples, communication and delivery arrangement alongside price. A lower unit price is less useful if it quietly removes the insert, changes the paper or moves assembly into your warehouse.
Review the whole order: packaging cost, separately charged samples or tooling, assembly work, and transport and storage needs based on the actual carton plan. Otherwise, work omitted from the quotation can become work your team has to absorb.
